What we collect

• Your email address, to sign you in and send packet notices.
• Property and lease details you enter (address, landlord name, dates, deposit amount).
• Photos, videos, notes, and observations you add during a walkthrough.
• Records of when files were received and their checksums, and payment status from Stripe.

How files are stored

Files go directly to private storage. They are never public; each view or download uses a link that expires within minutes. Original files are kept exactly as uploaded, including any metadata your phone added (which can include location). Previews and thumbnails are re-created without metadata.

Location check (optional)

If you turn it on, when you take a photo with MoveGuard’s camera your phone’s location is sent with the photo so MoveGuard can mark it “Taken at this address”. MoveGuard compares it with the property address and keeps only the result (for example, “at this address” or “no location available”); the coordinates are deleted right after the check and never shown. If a photo file already contains a location, MoveGuard uses that instead, and it stays inside your original file. To look up the property’s location, MoveGuard sends only its street address to the U.S. Census Bureau’s free geocoding service. You can turn the check off in your browser’s location settings at any time.

Retention

Packet downloads are available for 12 months. Walkthrough evidence is kept for 24 months after your last change, then deleted automatically. Data exports are available for 7 days.

Your choices

From Account, you can download an export of your data or schedule deletion of your account. Deletion happens after a 7-day grace period that you can cancel, and removes your files, walkthroughs, and records. Backups held by our providers expire on their own schedule.

Who processes data

We use hosting, database and storage, email, and payment providers (Stripe handles card details; we never see them), and an independent timestamp authority that receives only a fingerprint (hash) of your confirmed walkthrough — never your photos or details. We do not sell your data.

AI suggestions (only if you turn them on)

AI suggestions are off unless you turn them on in Account. When on, MoveGuard sends Anthropic (the maker of Claude) re-created photo previews with all metadata and location data removed, your notes, walkthrough details needed for a draft or search you request, and any lease PDF you choose to import. Anthropic processes this data for MoveGuard under its data processing terms. Your original files are never sent, a lease you import is not stored by MoveGuard, and suggestions only appear in your packet if you accept them, labeled as AI-assisted. You can turn AI off at any time.

Free scans without an account

If you start a free scan without an account, it is kept for 7 days. Save it with your email to keep it; otherwise it is deleted automatically.
